Company brain vs knowledge base vs Copilot: what’s the difference
A knowledge base holds the documents someone wrote. An assistant like Copilot or ChatGPT with connectors answers from documents and email it can reach. A company brain also reads chats and calls, links people, projects and decisions over time, and checks each answer against the original message.
How do they compare side by side?
| Criterion | Knowledge base | Copilot / ChatGPT with connectors | Company brain |
|---|---|---|---|
| Reads | What someone wrote into it | Documents, email and files it is connected to | Chats, calls, documents and forms, plus the team list |
| Understands relationships | No | Limited | Yes: a graph of people, projects and decisions over time |
| Answers | You search and read | In its own app or Office | In Slack or Telegram, with sources |
| Good at | Policies, how-tos | Working with documents and email | “Who did what, when, and what was agreed” |
| Effort to start | Writing and upkeep | Licences and set-up | 2 weeks on ready-made tools to 2 months custom |
When is a knowledge base enough?
When the knowledge you need is stable and someone owns writing it down: policies, procedures, product documentation. The problem is everything that never gets written — decisions in threads, agreements on calls.
When is Copilot or ChatGPT with connectors enough?
When most of the work lives in documents and email, volumes are moderate, and questions are about content rather than relationships. This is also the first level of a company brain: we build on exactly these tools when speed matters more than precision.
When do you need a company brain?
When the answers live in chat history and calls, when people ask about people (“who owns this client now?”), and when a wrong answer is expensive. That is where similarity search starts making things up and a graph that is checked against the source stays accurate. See the side-by-side example.
Questions
Can we start with Copilot and move to a brain later?
Yes. That is the usual path: level one on ready-made tools, then a custom graph once the questions about people and projects become the bottleneck.
Does a brain replace our knowledge base?
No. It reads it as one of its sources.
